PRO PORTFOLIO RULES & GUIDELINES
A. Account
1. By registering you confirm you are at least 18, provide truthful information and have the right to enter this agreement.
2. As a rule, one person or business = one account, and impersonating others or brands is forbidden. However, you may register several accounts if they are used only to present your services in different categories (for example, a separate account for photography services and one for makeup services). Each account must reflect your genuine services; using multiple accounts to artificially influence ratings or reviews, to send spam, or to mislead is prohibited. You are responsible for your accounts' security and all activity on them.
B. Content & copyright
3. Upload only your own work, or content you hold all required rights to. Posting stolen or copyrighted material you don't own is prohibited.
4. You warrant you have all necessary permissions — including consents/model releases of depicted persons and a lawful basis for processing their data — and that your content infringes no third-party rights or law.
5. You keep copyright in your content and grant Pro Portfolio a non-exclusive, royalty-free licence to store, display and promote it on the platform. The licence ends when you delete the content (except reasonable technical backups).
6. You are responsible for the legality of your content, including text fields, messages and listings.
C. Conduct
7. No spam, scams, misleading information or pricing, or fake reviews.
8. Self-promotion. The platform exists for you to promote yourself and your services — that's the whole point. But keep it to your own profile and the places meant for it (e.g. listings). It is not permission to advertise everywhere: intrusive self-promotion in comments and forum threads, or unsolicited (spam) messages to other users, is not allowed. For additional advertising options (featured spots, banners and the like) contact the administration.
9. Use the correct categories and genres for your work.
10. 18+ or sensitive content must be marked as such. Illegal content — including anything involving minors — is strictly forbidden and will be reported to the authorities.
11. Be respectful. Harassment, hate, threats or disclosing private data without consent are not tolerated.
D. Forum & community
12. The forum and community sections are for topics related to your profession, craft and creative work. Topics about religion and politics are not welcome.
13. Treat others in a friendly and kind way, with respect. Offending, insulting or hostile behaviour towards others is not tolerated.
E. Platform role & liability
14. Pro Portfolio is only a technical platform/intermediary connecting users. We are not a party to any deal, contract or conversation between users, and we do not guarantee bookings, income, quality or results.
15. Users are solely responsible for their own contracts, pricing, payments, invoices, taxes and service delivery. Disputes between users are between them; Pro Portfolio may, but is not obliged to, intervene.
16. The service is provided "as is", without warranties. To the extent permitted by law, Pro Portfolio is not liable for damages, lost profits, data loss or harm arising from use of the platform, content or other users' conduct.
17. You agree to indemnify and hold Pro Portfolio harmless from any claims, demands or costs arising from your content, conduct or breach of these rules.
F. Moderation
18. Admins may, at any time and without prior notice, moderate, hide or remove content and suspend accounts that breach these rules or the law. Reviews reflect users' opinions, not Pro Portfolio's.
G. Information on the processing of personal data (GDPR)
19. Controller. Your personal data is processed by [enter the controller's name, registration number and address] ("we"). For data-processing questions write to: [privatums@proportfolio.lv].
20. What data we process: (a) registration data — username, e-mail, password (stored hashed), chosen role, country, city, language; (b) profile and portfolio data you publish yourself — name, description, public contacts (e-mail, phone, links), images and videos, and attributes (for example, for models — age, body measurements). Note that photos and some attributes may contain special-category data (GDPR Art. 9), so you publish them on your own initiative and with your consent; (c) communication data — messages, booking requests, reviews; (d) technical data — IP address, browser and device information, approximate country from IP, visit statistics and device-recognition signals (for security and fraud prevention).
21. Purposes and legal basis: (a) providing the service — running your account, profile, portfolio and messaging (performance of a contract); (b) platform security, fraud and abuse prevention, protection of rights (our legitimate interests); (c) e-mail notifications and reminders — as you choose (consent, which you may withdraw at any time); (d) accounting and regulatory compliance for registered businesses (legal obligation).
22. Recipients. We may share data with processors acting on our behalf: e-mail delivery servers; automatic translation services (DeepL, Microsoft Azure, MyMemory, Files.fm), to which your published text is sent for LV↔EN translation; an IP geolocation service (to determine country); video platforms (YouTube, Vimeo, files.fm) if you embed video; and browser push-notification services. Your public profile can be seen by any visitor of the platform.
23. Transfers outside the EU/EEA. Some services (for example MyMemory, Google/YouTube) may be located outside the EU/EEA. In such cases we transfer only what is necessary and seek to ensure appropriate safeguards.
24. Retention. We keep data for as long as your account exists and as necessary for the stated purposes or as required by law. After account deletion, public content is removed; some records may be retained for a reasonable period for security, dispute or legal reasons, and in technical backups.
25. Your rights. You have the right to access, rectify, erase, restrict or object to the processing of your data, the right to data portability, and to withdraw any consent at any time (for example, to unsubscribe from e-mails). You can change or delete most of your data yourself in your profile settings.
26. Cookies. We use only cookies necessary for the service to work (session, security/CSRF, language choice) and visit statistics, with no advertising tracking.
27. Complaints. If you believe your data has been processed improperly, contact us or lodge a complaint with the Latvian Data State Inspectorate (www.dvi.gov.lv).
28. Automatic translation and artificial intelligence (AI). You acknowledge and agree that the text you publish on the platform (for example, profile description, news-feed posts, listings, comments, image titles) is automatically translated between Latvian and English by sending it to external machine-translation and artificial-intelligence (AI) services: DeepL, Microsoft Azure Translator, MyMemory and Files.fm AI (a large language model (LLM) translator, model "gpt-oss:20b"). Translations are generated automatically, without human review, and may be inaccurate or incomplete; the original text is always kept and can be viewed. Do not include in your text any data you do not wish to share with these services.
H. Changes & governing law
29. We may update these rules from time to time; by continuing to use the platform you accept the current version.
30. These rules are governed by the laws of the Republic of Latvia; disputes are subject to the Latvian courts. They do not limit consumer or data-protection rights that arise from mandatory law.
31. If any provision is invalid, the remaining provisions stay in force.
